Eligibility

Registered NGOs, civil society organisations, foundations, and associations generally qualify. Religious organisations and government entities typically do not.

How to Apply

Choosing Between the Two

The right choice depends on what your team already uses. If your staff work primarily in Google Docs and Sheets, migrating to Microsoft creates friction with no material benefit. If your organisation produces donor reports in Excel, runs finance in a Windows environment, or relies on Teams for coordination with government or bilateral partners, Microsoft 365 is the better fit.

Platform Selection

Google Workspace suits organisations that collaborate heavily on documents, run events or campaigns with external parties, and work primarily in browser-based or mobile environments. Microsoft 365 suits organisations where compliance requirements are strict, where Outlook's calendaring and Exchange features are embedded in daily workflow, or where the wider technology environment is Windows-centric.

Running both simultaneously and paying for both is a common and avoidable cost. A periodic licence audit typically surfaces significant savings.

The per-user licence fee is the most visible cost. The less visible costs accumulate faster.


  • Ghost accounts.Staff leave and their accounts are never deactivated. An organisation with 50 staff and 20 percent annual turnover over three years may be paying for 30 or more accounts that nobody uses.
